How You Can Determine The Budget for Your Telemarketing Project?

Anyone considering outsourcing their marketing, sales or telemarketing functions has to look at the economics involved – one question comes to mind: Is it less expensive to outsource or should I try to keep this inside?

Cost can be a major factor but should not be the only factor in your decision. Many experts will suggest that there are other factors that come to play when moving an important function outside, such as your ability to perform or manage the activity as well as a firm that performs the work full-time. The results of a professional firm may outperform what you might be able to achieve due to their ability to continue to invest in technology, training, and human resources – this is their focus.

In most cases, the answer to the age-old question above is – "it depends". In many cases you will find that it does cost you more to go to a professional outsource agency, but not unlike working with an advertising agency, law firm, accounting firm – you are paying for results; results that you might not have achieved by doing it yourself.

The purpose of this information:

The information below is intended to educate you and provide a tool to determine an estimated budget for your program. Obviously, highly complex projects require more interaction with the vendor(s) that you are considering to get closer to a final budget. Also remember that larger programs and commitments can result in lower costs to you, so the ranges that you will see in the pricing represent large to smaller volume projects.

SO GO FORTH!!! - Use these tools and estimated price ranges so that you can be better educated when further interviewing your final vendor selection.

Project type: Inbound call handling

Most inbound – call handling projects have the following components from a cost standpoint:

  • Start up fees
    • Design of program requirements; Standard operating procedures, etc
    • Development/programming of program (call guides, scripting, database set-up, telephony set-up, 800 number transfer, etc)
    • Training Design
    • Training Delivery (most vendors like to have the clients involved to some extent – depending of the complexity of the program)

Estimated cost ranges ($3,000 to $20,000)

    • Operational - Ongoing Fees
      • Project Management (many vendors will assign a single point of contact to oversee the entire project – perform as your internal advocate). This is billed at either an hourly rate or for many long-term programs or can be built in as a flat monthly rate. Some vendors include this function as part of their inbound per minute $$ rate.
      • Phone usage – this is the per minute rate that the vendor will quote based on the level of representative that would be required, and the overall call volume.

Estimated cost ranges ($0.60/min. to $1.20/min.)

(you can quickly estimate the bulk of your program cost by doing this: Total monthly call volume x 3 minutes x $0.90 = estimated monthly budget)

Usually included in per minute cost: manpower, phone usage, facilities and supervision.

    • Reporting (sometimes included – depending upon complexity)

    Project type: Outbound Telemarketing

Most outbound – telemarketing – telesales programs have the following components. The one thing to remember for these types of programs is that training can tend to be your most important investment for start up.

    • Start up fees
      • Design of program requirements; Standard operating procedures, etc
      • Development/programming of program (call guides, scripting, database set-up, predictive dialer set-up, list installations, etc)
      • Training Design
      • Training Delivery (most vendors like to have the clients involved to some extent – depending of the complexity of the program)

Estimated cost ranges ($1,500 to $5,000)

    • Operational - Ongoing Fees
      • Project Management (many vendors will assign a single point of contact to oversee the entire project – perform as your internal advocate). This is billed at either an hourly rate or for many long-term programs or can be built in as a flat monthly rate. Some vendors include this function as part of their inbound per minute $$ rate.
      • Phone usage – this is hourly rate that the vendor will quote based on the level of representative that would be required, and the overall call volume. The range is also determined by whether the calling is for business-to-business or business-to-consumer.

Estimated cost ranges ($20 to $35/hour)
      • (you can quickly estimate the bulk of your program cost by doing this: Total calling list size (-) minus 20% divided by 8 = total est. man hours of calling. Usually included in hourly rate: manpower, phone usage, facilities and supervision.

      • Reporting (sometimes included – depending upon complexity)
